What colleagues should know about the photos

Not legal advice – just the points worth two sentences in the invitation. Our guide to office Christmas party photos goes into more detail.

  • Nobody needs an app or an account, and guests upload without entering a name or an e-mail address.

  • The album can only be reached via the QR code or link, and you decide whether guests see all photos or only their own.

  • As the host you can delete any photo straight away, even while the slideshow is running.

  • Photos are deleted automatically: free albums: 30 days after the event; unlocked albums: 12 months.

  • Photos are stored with Google Firebase in the USA. Say so in the invitation, and talk to your works council or data protection officer before the party if you have one.

  • Taking part is voluntary. Offer a “no photos, please” sticker, and point camera-shy colleagues to the “hands only” mission.

  • Ask before anything is posted publicly: an internal album is not the company’s social media.

Christmas party photos: frequently asked questions

How do guests share photos at a Christmas party without an app?

They scan the QR code on the table with the phone camera. The album opens in the browser, where they choose photos from their camera roll or take a new one. No download, no account.

Can we show the photos live on the office TV?

Yes. Open the slideshow on a laptop connected to the TV or projector. New photos appear automatically, which reminds everyone to keep sharing.

What does it cost?

Creating the event is free and includes free photos. If your party takes more, the host or any guest can unlock unlimited photos for the event with a one-time payment of €29.99. There is no subscription. No VAT is charged under § 19 UStG (small business exemption).

Is it suitable for a company party with employees?

Yes. Colleagues need no account, the album is only reachable via the code or link, you can delete any photo at once, and the album is deleted automatically (free albums: 30 days after the event; unlocked albums: 12 months). Photos are stored with Google Firebase in the USA – mention that in the invitation and involve your works council or data protection officer if you have one.

How do the photo missions work?

If you create the event with the Christmas party template, six missions are added automatically. Guests see them on the upload page and can submit a photo for each one. You can edit, delete or add missions at any time.

Can relatives abroad join a family Christmas album?

Yes. Send them the link. The guest pages are available in English, German, French, Spanish and Italian.

Can guests upload videos?

Not yet. Guest Pictures collects photos only.
