The moments that make a company event worth it rarely happen on stage.
They happen at the bar after the keynote, at the long table on the summer terrace, in the team photo that took six attempts. Your colleagues capture them anyway – Guest Pictures puts them in one private gallery your internal comms team can actually work with.
How corporate event photo sharing works
From the organizer's laptop to the intranet gallery in four steps, without an IT ticket.
- 01
Set up the event gallery
The organizer, whether HR, internal comms or the event agency, creates the event in about a minute and switches on the private gallery. No hardware to procure, nothing to install on company devices.
- 02
Put the QR code on badges, table tents and slides
Add the code to name badges, buffet signage and the last slide of the opening keynote. Colleagues scan it with the phone camera and upload in the browser. No app on managed devices, no account.
- 03
Colleagues upload during the event
Photos flow into one shared live gallery. At a summer party, run the slideshow on the stage screen; at a conference, put it on the foyer display between sessions.
- 04
Select the highlights afterwards
Internal comms downloads the set, picks pictures for intranet and newsletter and, with consent of the people shown, for LinkedIn. Delete the event when your retention period ends.
What works at which company event
Placement, announcements and timing for the five most common formats.
Print the code on drink tokens or the wristband; everyone looks at those. Run the slideshow on the stage screen from the first hour so uploads snowball.
Code on the table menu. The MC announces the gallery once before dinner and once before dessert. The corporate photo challenge template gives colleagues tasks for the evening.
Last slide of every talk shows the code with one sentence. A foyer screen runs the slideshow between sessions. One event for the whole conference keeps everything findable.
Create one event for the whole trip. Use photo challenges as icebreakers on day one ("your team at the summit") and download the set for the wrap-up presentation.
Keep two events: one for the internal team, one for press and customers. Consent scopes stay clean and the marketing team only touches the external gallery.
Print the short link under every QR code. On a stage screen make the code at least the height of a hand. Test the scan with a company-managed phone beforehand, as some device policies restrict camera or browser features.
Name an owner. One person from internal comms watches the gallery during the event and removes an unwanted picture immediately when a colleague asks.

Employee photos and privacy: the checklist
Photo sharing at a company event touches employee data. These points keep it clean.
Participation is voluntary. Nobody has to scan, upload or appear in a picture. Say so in the invitation.
Use the private gallery so photos are visible only to people with the QR code or link, not to search engines or the public.
Inform in advance: one short paragraph in the invitation covering purpose (internal event documentation), who can see the photos and when they will be deleted.
Offer an opt-out signal such as a coloured lanyard or wristband for colleagues who do not want to be photographed. Brief the photographer and the MC on it.
Internal and external use are different consents. Pictures for LinkedIn, the careers page or a press release need explicit consent of the people shown.
Define the retention period before the event and delete the gallery when it ends. The organizer can delete the whole event in one step.
External guests and customers count too. At a launch event, the same notice should reach them at check-in.
Where you have a works council or employee representatives, involve them early. A short alignment beforehand avoids a long discussion afterwards.
Guest Pictures vs. WhatsApp group vs. shared album
Why the company chat group is the wrong place for event photos.
| Guest Pictures | WhatsApp group | Google Photos / iCloud shared album | |
|---|---|---|---|
| Getting people in | Scan the QR code, upload in the browser | Colleagues share private phone numbers with everyone in the group | Google Photos needs a Google account to upload; iCloud shared albums work best on Apple devices |
| External guests | Same code, same browser page | Must be added to a company chat | Need the right account or invitation |
| Photo quality | High-resolution downloads | Images are compressed when sent as photos | Depends on the service and its settings |
| Live slideshow on stage | Built in | No | No |
| Controlled deletion | Delete the whole event when retention ends | Copies remain on every member's phone | Depends on the album owner's account |
| Finding photos later | One gallery, download all at once | Scattered through the chat history | One album, but only for people who could join |

Corporate event photo sharing: frequently asked questions
Is photo sharing at a company event GDPR-compliant?
It can be, if you inform participants, keep participation voluntary, restrict the gallery to attendees and delete photos after a defined period. Guest Pictures supports this with a private gallery, no guest accounts and one-step deletion of the whole event. Your data protection officer sets the details for your organization.
Do employees need to install an app or create an account?
No. They scan the QR code with the phone camera and upload in the browser. This matters on managed devices, where app installs are often blocked, and for external guests who should not have to sign up for anything.
Can we keep the gallery internal?
Yes. With the private gallery option only people with the QR code or link can view the photos. The gallery is not listed publicly and not meant to be found by search engines.
Does it work for a conference with several hundred attendees?
Yes. Any number of people can scan the same code, and uploads go straight from each phone into the shared gallery. Run the slideshow on a foyer screen so attendees see the stream between sessions.
What does it cost for a company event?
Creating an event is free and every event includes free photos. If your team uploads more, anyone at the event can unlock unlimited photos in one tap. No subscription, no contract. For recurring events or several locations, contact us. The unlock is an optional one-time payment of €29.99 (no VAT charged under § 19 UStG).
Can we download and delete the photos?
Yes. Download the pictures you need for internal comms, remove individual photos on request and delete the whole event when your retention period ends.
